The Event Experience Director is responsible for preparing the process and team for all events including operations orders and logistics, as well as training the Event Experience staff to support the CEO. This includes:

  • Create event logistics SOPs and checklists and share with Event Experience Team. Post on OneDrive and Monday.com
  • Learn and use Monday.com to post docs, tasks and event calendars for entire team to view
  • Manage and create new systems to ensure high quality events, smooth communication amongst internal team, clients, and vendors, and oversee client satisfaction
  • Manage and Event Experience Team to ensure tasks are being completed and events are running smoothly
  • Hire and train event staff to execute virtual and in-person events
  • Handle issues and questions as they come up with events, if CEO is not available to troubleshoot
  • Create and gather reports from Event Experience Team immediately following events
  • Attend events as appropriate to handle client interactions and vendors

The Event Experience Manager is responsible for planning and operating events, communicating with vendors and clients, staffing each event, preparing event experience operations orders for staff, and executing onsite events.

Job Description

  • Manage a fast-paced calendar of in-person and virtual corporate events, focusing on customer service, profitability, and delivering excellent events that wow our clients and make them want to return
  • Communicate with clients to ensure what was sold is accurately executed onsite, exceeding expectations
  • Communicate event needs and expectations to vendors, ensuring they deliver what was sold to the client
  • Secure staff from our pool of trained contract staff
  • Create detailed event experience operations orders for onsite execution to include all event details from client and vendor, timeline, maps, etc. Send to staff and vendors 7 days prior to events
  • Execute in-person and virtual events, operating as liaison between clients and vendors, representing Fit City, troubleshooting challenges, and delivering high quality events to clients
  • Approve vendor invoices for payment
  • Assist with project profitability, saving money during event execution where possible, and updating project profit & loss at completion of event
  • Onboard new vendors and verify documentation
  • Gather client and vendor feedback post-event, track metrics, and update processes as needed
  • Host a debrief meeting with vendors post-event to continue to improve service

The Event Experience Coordinator is responsible for assisting the Event Experience Manager and Director.

Job Description

  • Assist marketing and event operations teams with administrative tasks in a fast-paced environment
  • Manage multiple communication channels (email, Slack, Monday.com)
  • Manage project management software and automated emails.
  • Create social media posts using recent event photos
  • Edit and publish company’s blog
  • Manage and send calendar invitations for upcoming events to internal team, clients, and vendors
  • Oversee client feedback from events, track in spreadsheet, and report in weekly meetings
  • Send follow-up recap email to clients including photo/video link to Google Drive through event management software
  • Assist Event Experience Manager with operations orders, research, and administrative tasks
  • Assist Event Experience Director with research and administrative tasks

The Event Experience Intern has the opportunity to learn real-world skills in both sales and operations event experience. After the internship is complete, Fit City is seeking to hire interns into an Event Experience Manager part-time or full-time position. The Event Experience Intern will be responsible for assisting the sales event experience departments. The intern projects will enhance operational efficiency while growing our revenue overall, helping to put this start-up on the map in a big way as we set our sights to expand into new national markets.

Job Description  

  • Work 150 hours in the sales department and 150 hours in the event experience department, receiving a well-rounded education
  • Sales Department Project includes:
    • Seek out new, exciting, cutting-edge activities and vendors that align with the Fit City brand and their corporate clients to include in quarterly sales deck
    • Assist in marketing plan execution including:
      • Setting up showcases
      • Branding and competitor research
      • SEO research
    • Day-to-day tasks include:
      • Sit in on client sales calls and record notes
      • Proposal creation and tracking
      • Resource and send out client gifts
  • Event Experience Department Project includes:
    • Learn and execute systems, processes, and logistics helping to create flawless event execution
    • Shadow and potentially solely operate in-person and virtual events
    • Researching and developing SOPs including:
      • Research new systems
      • Research new technology
      • Develop process flows, such as new staff onboarding and training
    • Day-to-day tasks include:
      • Sit in on client and vendor calls, recording notes
      • Translate client needs to operations orders, communicating details to vendors and staff
      • Project management tracking
      • Vendor follow-up calls, helping event delivery to run more smoothly
